Support Vice President and 20 engineering consultants from Senior to Assistant levels. Duties include managing daily operation of office; supervising front office receptionist, ordering office supplies, distributing mail, maintaining all office equipment, handling petty cash, preparing travel arrangements, coordinating office events, arranging off-site and department meetings and conference calls, including ordering, delivery, and setup of meals, as required; preparing expense reports, phone system administration, security access administration, and preparing office correspondence; shipping out going packages.
Human Resources Liaison:
Assisting with new hire paperwork and new hire set up, obtaining new hire equipment such as computers and cameras; obtaining network access making sure that the I-9 form is processed in a timely manner according to the federal requirements; processing Georgia new hire form.
IT Department Liaison:
Ordering new office equipment including copy machines, fax machines and postage meters; set up of new computers; set up new phone extensions; phone system administrator
Accounting Department Liaison:
Processing client invoices, processing vendor invoices for submittal to Accounts Payable, AP representative.
Engineering Assistant:
Word processing of engineering specifications, editing and updating preparation of engineering specifications for reproduction, binding of engineering specifications and drawings.
Marketing Coordination/Graphic Design:
Researching water and wastewater engineering issues; Monitoring State and Municipal websites for release of RFPs, RFIs, and amendments; Maintenance of proposal library. Graphic Design support includes: Design and production (includes printing and binding) of client proposals; Formatting of proposal documentation, including creation of proposal templates and shell files, create charts, graphs, figures and schematics; Final production of proposals including printing, collating, packaging, and quality control of printed materials; design of PowerPoint presentations and all branch office marketing efforts.
